How VisaVault works — start to finish

A complete guide to applying for a Vietnam e-visa with VisaVault. About 30 minutes the first time, 5–10 minutes for return trips.

Why VisaVault?

Vietnam Immigration's e-visa portal is functional but unforgiving — a typo in your passport number, a portrait with the wrong background colour, or a photo from years ago can mean rejection. VisaVault stores your traveller details once, AI-checks your photos against the official requirements, parses your hotel address into the structured fields the form demands, and one-click fills the official application via browser bookmark. Government fees are non-refundable on rejection — getting it right matters.

  1. Create your VisaVault account

    Sign in with your email — we'll send a one-time magic link, no password needed. Your data is encrypted at rest.

  2. Pick a plan

    Free is fine for one application. Upgrade to Visa Runner if you want AI photo verification, AI passport-OCR onboarding, and AI Vietnam-address parsing. Government fee is paid separately on evisa.gov.vn at submission ($25 single-entry / $50 multiple-entry).

  3. Build your traveller profile

    Quick start (paid): upload a clear photo of your passport data page. AI reads every field — name, DOB, passport number, MRZ, expiry — and pre-fills the form. You review and save.

    Manual: type the fields yourself. Names go in CAPITAL LETTERS exactly as on the passport.

    Optional but useful: add an Identity Card number (driver's licence works) — every extra field on your evisa is one fewer prompt to be flagged for manual review.

  4. (Optional) Add Vietnam home details

    If you have a fixed apartment in Vietnam (expat, long-term renter, 90-day visa-runner), fill the Vietnam Home Address section in your profile. Future applications get a one-click 🏠 Use my Vietnam home details from profile button to skip the address re-entry.

  5. Upload your passport scan FIRST

    Order matters. Upload the passport data page first — flatbed scan or phone shot from directly above on a clean white surface, all four corners visible, no glare or shadows.

    On paid tiers the AI grades it against Vietnam Immigration's spec (MRZ readable, sharp, full data page) and cross-checks the OCR'd values against your typed profile. Mismatches flag immediately.

  6. Upload your portrait second

    4×6cm equivalent (portrait orientation), pure white background, looking straight at the camera, no glasses, no hat, neutral expression, taken in the last 6 months. AI checks every criterion AND face-matches against your passport photo in one combined call.

    Score interpretation: 100/100 = APPROVED, 90–99 = likely accepted (don't chase perfection), <90= retake before submitting. Your face match score (vs the older passport photo) is informational — the evisa form will likely score you slightly lower if your passport is several years old, and that's fine.

  7. Create a new application

    Trip details: entry date, length of stay (max 90 days), entry/exit ports, purpose, expenses. The form pre-checks passport validity (Vietnam wants 6+ months beyond your return) and pre-warns if your dates clash with anything.

  8. Parse the hotel address with AI

    Paste your hotel's full address into Temporary Address in Vietnam — e.g. "42 Tran Bach Dang, My An, Ngu Hanh Son, Da Nang, Vietnam". Click ✨ Parse with AI. The four structured fields (street, province, district, ward) fill below. Picking the correct ward by hand is the most painful part of the official form — this skips it.

  9. Validate the application

    Click Validate & Prepare for Submission. VisaVault runs every cross-field check (passport vs trip dates, photo quality scores, profile completeness, port type) and freezes a snapshot of your profile so subsequent edits don't change the submitted data. Status moves to "validated".

  10. Open evisa.gov.vn and log in

    If you already have an evisa.gov.vn account, log in first — the form requires authentication before submission. New user? Register now (separate from VisaVault), verify your email, then continue.

    Tick both acceptance boxes on the landing page:

    • Confirm compliance with Vietnamese laws upon entry
    • Confirmation of reading carefully instructions and having completed application

    Then click Next.

  11. Click the VisaVault bookmark

    On the long application form, click the 📋 Fill VisaVault — [your name] bookmark you dragged earlier. A toast appears at the top of the screen showing what was filled (green) and what dropdowns you need to pick manually (sex, nationality, passport type, purpose of visit, province, ward).

    Photos still need manual upload on evisa.gov.vn — browser security prevents bookmarks from uploading files. Use the Choose File buttons and pick the same portrait + passport photos you uploaded to VisaVault.

    ⏱ Heads-up:evisa.gov.vn times out after a period of inactivity and clears the form. Do this in one sitting — don't leave it half-done overnight.

  12. Pay, submit, wait

    Government fee is paid on evisa.gov.vn: $25 USD single-entry / $50 USD multiple-entry. Card or bank transfer. Non-refundableif your application is rejected — that's why VisaVault's pre-checks matter.

    Standard turnaround is 3 working days. You'll get an email with your registration code; come back to your VisaVault application page and use the Status Lookup to track approval.
